Private Label Bedding Cost

Sourcing agents rarely show you the whole cost of a private label bedding programme. Here is where the money actually goes, and which parts you can move.

The seven cost lines

A private label pillowcase or sheet set carries seven cost lines. Only the first is what you see quoted.

  • Fabric. The largest single line, and the one most sensitive to your colour and weight choice.
  • Cut and sew labour. Reasonably stable per unit, but changes sharply with order size because of change-over time.
  • Trims and packaging. Elastic, thread, labels, polybags — small individually, meaningful in aggregate.
  • Retail packaging. Polybag with barcode, or retail box — this can double the packaging line.
  • Labelling. Care labels, fibre composition, country of origin. Cheap per unit, expensive if wrong and the shipment is held.
  • Freight. Ocean freight is a bigger share than most buyers expect — on bulky bedding it can exceed 15% of landed cost.
  • Compliance and testing. Test reports, conformity certificates, and the staff time to assemble them.

Where the savings actually are

Buyers usually fixate on fabric price, because it is the biggest number. In practice the larger wins are usually elsewhere.

Order size is the biggest lever, because change-over time is fixed. Moving from 500 to 5,000 pieces typically drops unit cost far more than negotiating the fabric price ever will.

Packaging specification is the second lever. A retail box adds cost and freight weight for a benefit your channel may not need.

Colour count is the third. Every additional colourway adds a change-over. Four colours across three sizes is frequently cheaper than twelve colours across one size, for the same total volume.

Questions worth asking any supplier

  • What is your minimum order, and what happens to unit price above it?
  • How many colourways are included before you start charging for change-overs?
  • Who prepares the export documents and the compliance paperwork — you, or a forwarder you introduce me to?

The answers tell you whether you are talking to a factory or a trading desk. There is nothing wrong with a trading desk, but you should know which one you are buying from.
